BACKGROUND
Tech Embassy runs tech events across several cities, bringing together startups, investors, judges and guests. We built it one system for the whole event lifecycle, from preparation and check-in to post-event follow-up: role-based views for every participant, registrations synced from Luma, live startup judging and a single hub for participant communication.
THE CHALLENGE
Every Tech Embassy event brings together startups, investors, accelerators and guests across several locations, and coordinating them relied on hand-kept lists, spreadsheets and scattered chats. Communication was split across many tools, there was no central system for event operations and the team had little visibility into participants and progress. Every event carried heavy coordination overhead, and every new city multiplied the work.
OUR SOLUTION
We built a platform that holds the whole event lifecycle. Each participant appears in a view for their role — startup, investor, judge or guest — and registrations and attendance statuses sync from Luma automatically. Approvals, invitations and bans take one click, and all participant communication runs from one place, before and after the event. During the competition every judge scores each startup on market, product, model, traction and team, the leaderboard updates live, organisers follow and close the vote from their phone, and prizes are assigned from one screen right after. The platform went from concept to delivery in one to two months, and today events run the same way in every city with far less manual coordination.
